Learn how the Instrumentl grant tracker helps you manage prospective and historical grants

The grant tracker is Instrumentl’s project management workspace for tracking prospective and historical grants in one place.

Each project includes its own Tracker view for managing opportunities from research through award. You can also use the "all projects" tracker to monitor grants across programs or projects in one consolidated view.


Overview

When you save a Match to a project, it's automatically added to your project's tracker with a Researching status. As you make progress on the opportunity, you can update the Status and other criteria accordingly. For grants in the "Researching" status, you can set up a Task to review guidelines and make a yes/no decision on whether to proceed with the grant opportunity.

When you save a Match to a project, it appears in that project’s tracker with a default status of Researching. As the opportunity progresses, update the Status (e.g., Planned, Application Submitted, Awarded) to reflect its current stage.

Within the Tracker view, you can update fields such as:

  • Status

  • Deadlines

  • Tasks

  • Notes

  • Financial details

Key features

  • Status tracking: Easily update the status of your grants (e.g., Researching, Application Submitted, Awarded) to monitor where each opportunity is in your pipeline. Learn more about grant statuses here.

  • Task and deadline management: Assign tasks, set deadlines, and receive automated reminders for key milestones like submission and reporting deadlines. For awarded grants, create a task to track reporting requirements and set up email reminders for upcoming deadlines to ensure compliance.

  • Collaborative workspace: Assign team members to specific tasks and grants to ensure everyone stays on the same page. Assign Collaborators to your tasks so they receive email reminders about their action items, helping your team stay aligned and efficient.

  • Historical and custom grant tracking: Add your historical grants or grants found outside of Instrumentl to track everything in one place.

  • Flexible filters and sorting: Filter grants by status, deadline, or other criteria to focus on priorities, and use sorting options to quickly prioritize tasks or opportunities. Learn more about customizing your Tracker view here.

  • Reporting features: Export pipeline reports in PDF and CSV formats to summarize the number of new grant prospects or track grant applications submitted within specific timeframes.


All projects vs. single-project

In addition to individual project trackers, Instrumentl includes an "all projects" Tracker view.

The "all projects" Tracker view combines saved opportunities from all projects into one view, allowing you to:

  • Get a comprehensive overview of your entire grant pipeline

  • Filter and sort across projects

  • Track upcoming deadlines across all projects in one place

If you prefer to view only one project’s saved opportunities, select that project from the left nav menu. This will display the tracker specific to that project.


Export tracker data

Tracker data can also be exported using built-in reports to analyze prospects, applications, and awards over time. These reports enable you to analyze data effectively by summarizing newly identified grant prospects or tracking application submissions over a given period.

For example, you can generate reports to summarize metrics such as the number of new prospects found or applications submitted within a specific timeframe, providing valuable insights into your grant-seeking efforts.
