Customize your Tracker

Learn how to tailor your Tracker view in Instrumentl to match your grant workflow

The Tracker is Instrumentl’s built-in grant management system — designed to help you track, organize, and manage all your funding opportunities in one place.

Because every organization works differently, the Tracker is fully customizable. You can filter, sort, and rearrange columns so the information most important to you is always front and center.


Viewing a specific project's Tracker

You can view either the Tracker for All Projects or for a singular, specific project.

For those with several projects, you can narrow down the ones shown on the left side by filtering for Project Type or Project Lead:


Why Customize Your Tracker?

Customizing your Tracker allows you to:

  • Focus only on the grants relevant to your current work

  • Organize opportunities by status, fiscal year, or *grant owner

  • Add, remove and rearrange key information to reflect your internal priorities

  • Replace messy spreadsheets with a centralized system

The more intentional your Tracker setup, the easier it becomes to stay on top of your pipeline.

*Note: The Grant Owner opportunity field/Tracker filter is available starting on the Standard Plan.


Navigating Your Tracker Views

At the top of the Tracker, you’ll see multiple views to help you focus on the right stage of your grant lifecycle.

View All

Displays every saved opportunity within your Tracker view.

Researching

Shows opportunities in the Researching status — grants you are still evaluating or prospecting. Pro tip: If this list grows large, review it weekly or bi-weekly to move viable grants forward and prevent opportunities from going stale.

Applications

Displays grants in active application-related statuses (e.g., Planned, LOI Submitted, Application in Progress). Use this view when you're in writing or submission mode.


Filter your Tracker

Quickly narrow your pipeline to focus on the grants that matter most right now.

Within the Tracker, you can filter by:

  • Fiscal Year

  • Owner

  • Status

  • Custom Fields (Professional Plan and above)

To filter your opportunities:

  • Use the fiscal year dropdown at the top

  • Click the funnel icon in column headers to apply filters

This makes it easy to isolate grants assigned to a specific team member or focus only on certain criteria.


Add, remove and rearrange columns/fields

You can customize which columns appear and where they show up in your Tracker view.

To edit the columns shown on your tracker:

  1. Click the pencil icon in the top-right corner of the Tracker

  2. Select or deselect fields to display using the checkboxes

  3. Save your changes

To rearrange columns:

  • Hover over a column header

  • Click and drag it to your preferred position

This allows you to place high-priority information (such as Status or Next Task) at the top of your view.


Sorting your Tracker

By default, the Tracker is organized by deadline. If you'd like to re-sort your Tracker by Name, Deadline, Amount, or Next Task, you can easily click the arrow next to that column.

For Name and Amount, you'll see a dropdown that lets you specify the exact sort order you prefer.


Collapse Months

If you'd like to focus on a single month in your Tracker, click the arrow next to the month to collapse the opportunities. When you're ready to view that month's opportunities, just click the arrow again!


Create and add Custom Fields

Custom Fields let you create new columns in your Tracker. These can be created at the Funding Opportunity level (grant-specific) or at the Funder level (applicable to all grants from that funder).

Custom Fields are available on Professional Plans and above.
