Overview
The Documents page serves as a doc library in Instrumentl for all your grant-related files. Store records like budgets, full proposals, LOIs, executive summaries, common application responses, mission statements, board lists and anything else that you’d like to keep accessible for you and your team.
You can also add files directly to specific funding opportunities in your Tracker via the 'Documents tab of a saved grant page.

Continue storing your best work in the library to compound the knowledge that the Advisor uses to derive source info—this creates even better AI-generated responses to application questions!
When using the Award Assistant, our AI post-award management tool, you can attach grant award agreements that are already in your library directly to an awarded opportunity to extract & review key compliance information. Any documents previously attached to the opportunity will automatically save to the library as well.
Adding documents
Directly upload to the library
Documents uploaded directly to the doc library are initially not associated with any particular saved opportunity or project. You can later add documents stored in the library to a saved grant from within that grant's 'Documents' tab.
From the left-nav menu, select Documents to navigate to the document library.
From there, click +Add Document near the top-right corner of the library.
From the dropdown menu, select either Upload from computer or Add link to shared file.
Once you upload a document directly to the library, it's now securely stored in Instrumentl. From here, you can customize the title or preview the file.
Notice that documents uploaded from within the library have nothing in the 'Opportunity' column because they aren't tied to any saved grant or project.
Store within a saved grant
You can attach documents directly to a saved opportunity in your Tracker. Simply open the saved grant and navigate to the 'Documents' tab.
Next, click + Add Documents. Select one of the three options from the dropdown menu: Upload from computer, select from document library, or Add link to shared file.
Note: Whenever you upload a document to a specific opportunity on Instrumentl from your computer or as a link to a shared file, it will automatically sync to your Document Library as well.
External links to shared files
You can connect shared files from external cloud storage using URLs/links to your Instrumentl document library! This creates a universal hub for your team to see all resources, even if they exist in Instrumentl. Spare yourself the extra steps of downloading and re-uploading files by saving the file's URL to your Instrumentl library. This way, any changes are dynamically updated on Instrumentl's side, since the link points to the external file where they were made.

How to add a link to a shared file:
Once you select + Add Document, you'll see the option to add a link to a shared file.
From there, assign a name and paste the URL.
Once you click Done, the link will be securely stored in Instrumentl.
Your Document Library helps close accessibility gaps, strengthens your team, and supports your success. Wherever you choose to log in, your files will follow!
Preview documents
Instead of having to download a document stored in Instrumentl each time you wish to view it, you can instead preview it in a new tab!
Hover your cursor over the title of the document to check for the "preview" button. Currently, the file types you can preview in Instrumentl include .docx, PDF, and URLs (external links to shared files).

To view Excel/.xlsx, .png and .jpeg documents, you must download them to your computer, as previewing these file types is not currently supported.
Search your documents
The search bar within the Documents page supports searching by file name, document title, project, opportunity name or text within documents.
Delete a document
To delete an attached document from an opportunity, navigate to the saved grant's 'Documents' tab.
Click the trash can icon on the right-hand side of the file.
Next, select either Remove from this grant only or Remove from document library.
The former (Remove from this grant only) will unassociate the document from the saved grant it was once added to, but the file will remain stored on the Documents page (i.e., the doc library).
The latter (Remove from document library) will delete the file entirely from your Instrumentl account—the saved grant's 'Documents' tab as well as from the library.FAQs

Do I have to upload a document to a particular opportunity?
Nope! You don't have to designate an Opportunity when uploading a document to Instrumentl. To add an "unassociated"/general document, go straight to the Documents page and select + Add Document.

Currently, the Document Library does not yet support organizing documents into folders. However, we're planning to roll this feature out in the near future, so stay tuned for updates in What's New!

Can I sort the Document Library by whatever column I want? What about filtering?
Documents are ordered in the Library by 'Date Added', with the most recent upload first. Currently, there's no other option.
However, you can filter the Document Library by 'Project', and you can type keywords into the search bar to locate specific documents.
