In the remainder of this article, we'll break down how to set up the integration step by step so you can start linking and syncing!
Setting up Salesforce Integration
First, access Salesforce by going to Account → Integrations on the bottom left-hand side of your Instrumentl account:
Next, users will be prompted to Log into Salesforce to enable the integration:
Then, users will be asked to map Instrumentl fields to the appropriate fields in their Salesforce account.
Link Funding Opportunities to Salesforce
Once you have the integration set up, you’re ready to sync funding opportunities from your Tracker to Salesforce with just a few clicks.
Step 1: Open an Opportunity From Your Tracker
Step 2: Click “Link to Salesforce”
Once configured, updates made in your Tracker will automatically sync to Salesforce. Your Instrumentl Tracker can now become the main hub for all your grant work. Find more details on Salesforce integration below.

Is every saved opportunity automatically sent to Salesforce?
No, you must explicitly link each opportunity you want synced to Salesforce. This is by design so you’re in control and your Salesforce account stays tidy.
After linking an opportunity, do I have to push it to Salesforce after each change I make?
After linking an opportunity, do I have to push it to Salesforce after each change I make?
No, any change that you make to the linked opportunity will automatically be sent to Salesforce, except for Funder Deadlines:
The one exception is Funder Deadlines — since Instrumentl maintains those, we want you to stay informed of when those change. You’ll see a notification that the funder deadline changed, and then you’ll have the ability to confirm syncing that deadline change to Salesforce.
Do I need to re-sync records after changing mapping?
Do I need to re-sync records after changing mapping?
Nope! If you sync some records, and then realize you need to tweak the mapping (e.g., map Amount Requested to something else), you don’t need to go back and re-sync. It will automatically flow over according to the new mapping.
Can the integration sync Funder notes?

Yes, you can map these! These are typically done to the “Account Description” field.

What is the "Powered by Instrumentl" checkbox?
What is the "Powered by Instrumentl" checkbox?
This is only if you want colleagues looking at Salesforce to know that a record is being synced from Instrumentl. You'd just need to create a new field on Salesforce for Instrumentl to map it to. If you don't want to create a new field on Salesforce, you can update it to be another field on Salesforce. You also have the choice to not use it at all and keep it empty.

These are going to be specific to your nonprofit’s Salesforce fields. We want to let you decide how they get filled out. For example, if you know every record here should get marked with the “Grantmaker” checkbox because that’s something your organization marks in Salesforce, simply check it off here and let Instrumentl do the work to mark them all for you:

You'll want to map to Salesforce's "Close Date" field.

What should I put as the "Close Date"?
In short, this is a requirement from Salesforce and can be any date. You can set up a Custom Field on Instrumentl to customize the close date for each grant, and map it to the Close Date for that grant on Salesforce.

Customize an Instrumentl "Close Date" field to map to a grant's Salesforce "Close Date":
In your Instrumentl account, navigate to Account > Custom Fields and create a "Close Date" Custom field:
Next, head over to Account > integrations > Salesforce > pg. 3 "Map Funding Opportunity Data" to map this Custom Field:
Then, you'll just add in the individual Close Date on an opportunity page before you sync to Salesforce:
If "Close Date" changes during the middle of the year, will it automatically flow through to the existing synced records?

Yes — once you update the Close Date on the grant saved in Instrumentl, the synced records will automatically update to the new Close Date in Salesforce. You will see a history of the changes in Salesforce.
