Every Instrumentl plan includes a base number of Core User seats, and some plans include Collaborator seats as well. Here's an overview of each plan's default number of Core Users included:
If you still have seats available, you can invite Core Users (or add Collaborators) directly from the Team page.
However, if your team exceeds the available capacity for Core User and/or Collaborator seats, follow the guide below to expand your account's user allotment.
Request an additional user


If you need to add only one or two users beyond your plan's seat limit, simply reach out to our Support team. We're happy to help accommodate your org's need for another user seat.
βNote: Only Core Users with the Admin role can authorize an additional user seat to be added to their account.
If you're a Member, Project Member or Collaborator, please reach out to the Account Owner or another Admin on your team to make this request.
When upgrading may be the better fit
If you find yourself needing significantly more user seats, that's usually a sign that your grants program is larger than the intended profile for your plan.
The need for more users is one of the clearest signals that your grants program has matured. Teams that have outgrown their seat count have often also outgrown other aspects of their current plan β a higher-tier plan may serve them better overall.
For example:
A Pre-Award customer with a team much larger than the default 5 Core Users & 10 Collaborators is probably managing post-award work β reporting, budgeting, and compliance. The Full Lifecycle Plan is built for exactly this, and it includes 15 Core Users and 20 Collaborators.
