Import your existing grants into your Tracker

Learn how to import your past and current grants into your Instrumentl Tracker

Instrumentl's Tracker is meant to keep your entire funding pipeline organized β€” not just new opportunities you find inside Instrumentl.

We recommend importing any grants or funders you were managing before joining Instrumentl, whether they are:

  • Previously awarded grants

  • Active or multi-year awards

  • Previously declined applications

  • Current in progress / submitted applications

  • General funders without a formal open opportunity

Bringing your existing grants into your Tracker helps you:

  • Centralize your funding pipeline

  • Save time hunting down funding information

  • Improve team collaboration

  • Automatically access funder 990 insights


Import records one-by-one

If you prefer to import records individually, go to the top right on your Tracker and click + Add New > + Add one. From there, fill out the relevant fields and save the grant to your Tracker.

This option works best if you only have a few grants to bring in.


Import multiple records at once by uploading a spreadsheet

If you've previously tracked grants in Excel, Google Sheets, or another CRM, Instrumentl makes it easy to upload multiple existing grants at once.

Our Grant Import team will review the imported data and add the records to your Tracker on your behalf, saving you hours of manual data entry.

To upload a spreadsheet or list of current or past grants, select the +Add New button at the top right of your Grant Tracker and click "Import your grants spreadsheet".

From there, you'll see an import screen prompting you to directly download our grants import template as an Excel, CSV, or Google Sheets file in just one click!

The first five rows in the template are mandatory:

  • Foundation Name

  • Funding Opportunity Name

  • Status

  • Instrumentl Project Name

  • Year

If you're tracking a funder that does not have an open Funding Opportunity, you can leave that cell blank and we will auto-fill that field in with "Funder Name + Grant". E.g., if you were tracking the Ford Foundation and they did not have an open opportunity, we would title the Funding Opportunity as "Ford Foundation Grant".

The rest of the columns in the spreadsheet are optional.

However, you may wish to fill out additional information in the spreadsheet to populate your Instrumentl grant data as thoroughly as possible to maintain accurate records and keep your Instrumentl statistics up-to-date.

Be sure to double check reporting deadlines and amounts for any awarded grants to avoid inconsistencies in your data.

As you fill out your export template, you can reach out to Instrumentl's team if you have any questions about formatting.

Post-Submission

Once you submit your verified spreadsheet, a "Pending Import" banner will appear on your account and our team will get started processing your grants!

Please note that these grant imports are done manually by one of our Grant Import team members and are not automatic.

We will inform you as soon as the import has been completed, and may also reach out if there are any potential modifications or clarifications necessary.

Duplicate a grant to track another year

If you've applied to or received funding from the same opportunity across multiple years, you can duplicate the opportunity to track each cycle separately.

Click into the saved opportunity and click More options > Duplicate.

Then you'll be prompted to enter the information for "new" grant opportunity. Once you click Save, this past grant will be saved as a separate record in your Tracker.


Locating past or current records records in your Tracker

Use the the Years drop-down at the top of your Tracker and select the year(s) you'd like to view. The stats at the top of your Tracker will update according to the year(s) selected.

You can also use the search bar at the top of your Tracker to comb through records across all years. This function allows you to easily search the Tracker to locate a specific historical record.

If you have any gaps in your imported historical records, you can always update your opportunity's data within Instrumentl by filling out additional field details.
