The Tracker is a project management tool in Instrumentl that helps you track, organize, and manage all your grants in one place. Whether managing one or multiple projects, it keeps your grant process streamlined and organized.

How the Grant Tracker Works

When you create a project on Instrumentl, a Tracker is automatically set up for it, helping you manage each grant opportunity from research to post-award. Saved matches are added to your Tracker with a "Researching" status, and can be updated as you make progress on that opportunity.

Key features of the Grant Tracker include:

  • Status Tracking: Easily update the status of your grants (e.g., 'Researching,' 'Application Submitted,' 'Awarded') to monitor where each opportunity is in your pipeline. Learn more about grant statuses here.

  • Task and Deadline Management: Assign tasks, set deadlines, and receive automated reminders for key milestones like submission and reporting deadlines.

  • Collaborative Workspace: Assign team members to specific tasks and grants, ensuring everyone stays on the same page.

  • Historical and Custom Grant Tracking: Add your historical grants or grants found outside of Instrumentl to track everything in one place.

  • Flexible Filters and Sorting: Filter grants by status, deadline, or other criteria to focus on priorities, and use sorting options to quickly prioritize tasks or opportunities.

Filtering Opportunities in your Tracker

Instrumentl's filtering tools make it easy to focus on your saved opportunities that matter most. In your Grant Tracker, you can apply filters to quickly narrow down grants based on key criteria, such as:

  • Status: Filter by statuses like 'Researching,' 'Application Submitted,' or 'Awarded' to focus on grants at specific stages.

  • Owner: View opportunities that are assigned to specific team members (available on the Standard Plan and above).

  • Fiscal Year: Filter opportunities by fiscal year to ensure you're focusing on grants aligned with your organization's reporting or budget cycles.

  • Custom Fields: If you’ve set up custom fields (available on the Professional Plan and above), you can filter opportunities based on your unique criteria, like priority level or internal team notes.

You can also view or sort your opportunities by clicking on Instrumentl's preset filter views for opportunities with the "Researching" or "Application" status.

Reviewing Opportunities Across All Projects

Once you have multiple projects set up in Instrumentl, the All Projects Tracker lets you easily manage and track opportunities from all your projects in one place. It combines every saved grant into a single view, allowing you to:

  • Get a Comprehensive Overview: See the status of all your grant opportunities at a glance, no matter which project they belong to.

  • Filter and Sort: Apply filters by status, funder, deadline, or other criteria to focus on key tasks and opportunities across all projects.

  • Stay Organized: Easily prioritize tasks or upcoming deadlines by sorting opportunities across your entire grant portfolio.
