University Plan

An in-depth review of features included in the University Plan

Written by Angeline Le
Updated this week

The Instrumentl University Plan is designed for higher education institutions that need to coordinate grant funding discovery and collaboration across multiple departments, faculty members, and research offices.

Instrumentl helps universities find research funding, track grant opportunities, and collaborate across campus—supporting both centralized research offices and faculty-led grant seeking.

Institutions that manage grant funding across multiple departments or teams may benefit from the University Plan.

Common use-cases

Typical departments & org types

The University Plan supports institutions that manage grant activity across multiple stakeholders and departments. Some common examples of customer profiles who subscribe to the University Plan include:

  • Corporate & Foundation Relations (CFR) teams

  • Sponsored Programs Offices

  • Research Development Offices

  • Research Administration staff

  • Faculty and Principal Investigators (PIs)

How universities use Instrumentl

Universities often manage funding across multiple teams, research initiatives and academic departments. Instrumentl helps institutions organize funding discovery and coordinate grant strategy and proposal development across these stakeholders. Many universities use Instrumentl to:

  • Centralize funding discovery across campus

  • Share funding opportunities with faculty and departments

  • Track proposal development and submission timelines

  • Coordinate communication between central offices and researchers

  • Enable faculty to self-serve funding prospecting while central teams provide strategic oversight

Access models for universities

Instrumentl offers flexible access models depending on how institutions want to manage grant discovery across campus.

Standard institutional access

Standard institutional access is commonly used by central research offices or select departments. This model allows teams to:

  • Conduct prospect research for funding opportunities

  • Track grant deadlines and proposal development

  • Manage multiple grant pipelines across departments

  • Support faculty research initiatives

Campus-wide access

Some universities enable campus-wide access, allowing faculty and staff across the institution to use Instrumentl. With campus-wide access:

  • Users can sign in using Single Sign-On (SSO) with their university credentials

  • Each user receives their own workspace to manage funding searches

  • Faculty and staff can independently discover funding opportunities while collaborating with central offices

This structure helps:

  • Faculty and staff independently discover relevant funding opportunities.

  • Central research teams spend less time supporting individual prospect research requests and more time focusing on strategy, proposal development, and post-award support.

  • Institutions strengthen their overall grant-seeking culture and expand participation in external funding opportunities.

Key Platform Capabilities

Seamless Login with SSO

Faculty and staff can sign up and log in using their university email credentials through Single Sign-On (SSO). This provides secure access and simplifies onboarding for large groups of users within the same institution.

University grants

The University Plan provides access to our expanded database, which includes funding opportunities for higher education institutions, such as grants designed specifically for:

  • Universities and colleges as applicants

  • Faculty research funding

  • Postdoctoral researchers

  • Graduate and undergraduate student funding

Users can also filter for opportunities designed for early-career researchers and faculty.

This expanded coverage helps universities discover opportunities that may not typically appear in nonprofit-focused grant searches.

Department sub-folders of projects

The University Plan supports sub-folders, which help institutions organize funding searches (i.e., projects) across multiple colleges, departments and research areas.

Universities often pursue grants simultaneously across many programs and faculty research groups. Sub-folders allow teams to group related projects under a single department, college, or office. Here's an example structure:

College of Education

  • Faculty Research Grants

  • Student Success Initiatives

School of Public Health

  • Community Health Research

  • Public Health Partnerships

Central Research Office

  • Institutional Grants

  • Campus-wide RFP Library

This structure allows central offices—such as Sponsored Programs or Corporate & Foundation Relations teams—to maintain visibility across institutional funding activity while departments and faculty manage their own searches

If your institution would like to enable sub-folders, please contact your Instrumentl Customer Success Manager or email hello@instrumentl.com.

Customizable user access to projects

Institutions can configure user permissions and project sharing settings to determine how projects are visible across teams.

Depending on how permissions are set, central research offices may be able to:

  • Collaborate on faculty grant projects

  • Review funding opportunities being tracked across departments

  • Support proposal development and submission

Additional features

University accounts can also access many of the platform features available across other Instrumentl plans, depending on the organization’s configuration.

These features may include:

FAQ

I'm a student planning to sign up for a University Plan demo to apply for a scholarship. Is the University Plan right for me?

No, the grants in Instrumentl's database are mostly for USA-based nonprofit organizations, namely those with 501(c)(3) status from the IRS and universities. Individuals/students won't find scholarships or grants for tuition. See the common use cases for this plan.
