We understand that nonprofits can experience changes to their budget, bandwidth and focus. You may need to temporarily step away from your work here in Instrumentl as you realign, and our Maintenance Mode option simplifies the process!
Maintenance Mode allows you to put a hold on your subscription so you can easily pick up where you left off, rather than restart from scratch.
Overview
Verify your eligibility and learn how Maintenance Mode works below.
What is Maintenance Mode?
Maintenance Mode is an account status that indicates your subscription is paused. In this state, you can still view and manage your Settings, Team, Organization/Client Profile(s), Document Library and Stats. However, you will not have access to your Tracker data or Matches (this includes creating Reports or new Projects).
Eligibility
To be eligible for Maintenance Mode, your account must meet both of the following requirements:
Your account must be actively subscribed to a paid plan*, regardless of billing cadence.
Your subscription has not already been paused at any point earlier this year (Maintenance Mode is available once per calendar year).
*Note: Maintenance mode is not available to free-trial users.
Duration
By default, Maintenance Mode runs for 3 months, which is the maximum length of time your subscription can be paused each calendar year. You may un-pause your subscription at any point during this 3-month window to regain access to your Tracker & Matches.
*** Please Note: Once you deactivate Maintenance Mode, you cannot reactivate it again until the following calendar year (even if you exit Maintenance Mode earlier than the three-month limit). Any unused time in Maintenance Mode is forfeited and does not roll over to the following year.
Monthly vs Yearly billing
Monthly billing
For plans with monthly payments, Maintenance Mode will start immediately upon enrolling. Any remaining subscription time in this monthly billing cycle will be credited to your account since you would have already paid for a full month's worth of access.
Maintenance Mode will run for exactly 3 months from the day you enrolled, at which time your subscription will automatically resume (unless you manually un-pause sooner). When exiting Maintenance Mode, your account will be charged a prorated amount for the remaining time in that monthly billing cycle.
Note: Before charging your payment method on file, any credit balance on your account will first be debited. Regular billing will commence again the following billing cycle.
Yearly billing
If you make yearly payments, Maintenance Mode will begin as soon as your annual plan period concludes. At that time, your plan will change from annual to monthly. For the next 3 months, your account will be charged $5/month.
Once the 3 months are up, your account will reactivate with regular monthly billing.
If instead you turn off Maintenance Mode before it expires, then you'll be charged for the remaining time in that monthly billing cycle, and regular monthly billing commences the following cycle.
If you wish to revert your subscription to yearly payments, go to the Pricing page > select Edit Plan > choose billed yearly > Confirm Payment (your billing cycle will restart that day, and the unused time left in the monthly billing cycle will be credited to prorate the annual plan payment due).
If you'd like to proceed with pausing your subscription, follow our step-by-step guide below to enable Maintenance Mode directly within your account!

Exit Maintenance Mode
While your subscription is paused, your account's "home screen" (i.e., Tracker) will indicate the date when Maintenance Mode expires and your subscription automatically resumes.
If you choose to reactivate your account sooner, you can click the hyperlinked Subscription page as shown below:
Alternatively, you can navigate to the Subscription page via Account > Settings > Manage.
From the Subscription page, simply select Resume subscription:
Once your account is reactivated, you're ready to get back to doing what you do best!
When entering and exiting Maintenance Mode, you can review the respective invoices that break down any charges or credits to your account.
