Each opportunity in your Instrumentl Tracker is tied to one fiscal year and one project.
If you need to track the same grant across multiple projects or multiple fiscal years, you’ll need to create a duplicate record.
Duplicating an opportunity allows you to:
Track future application cycles
Assign the same grant to a different project
Split multi-year awards across fiscal years
Duplicate an Opportunity
You can create a duplicate record of any grant by:
Open the opportunity from your Tracker.
Click the three-dot menu (⋮) next to the Done button at the bottom right of the opportunity modal.
Select Duplicate.
On the next screen, you'll see several fields to complete, some of which have default values (Year, Project, Status, e.g.).
*Note: Make sure these default fields are accurate, especially the FY since it will affect how this duplicate opportunity is sorted in the Tracker.
Depending on the Status selected, additional fields may appear (such as Submission Goal or Amount Requested). Enter the relevant values into each field (if you make a mistake, you'll be able to go back and edit afterwards).

If applicable, use the Add Submission Goal option near the bottom of the form to set a new deadline for the duplicate opportunity.
Once you hit the Save button, that duplicate record will be created!
Where to Locate the Duplicate
The duplicated opportunity will appear in your Tracker and will be sorted based on the Fiscal Year and Status selected during duplication.
You can find both the original and duplicate opportunities under any of that funder's opportunities in the database, as well as listed on the funder's 990 Report:
FAQs
Can I duplicate multiple opportunities at once?
Can I duplicate multiple opportunities at once?
No, there is no "bulk" duplicating capability since each duplication action requires manual inputting of various important data such as statuses, dates and projects.
When the future application cycles come around for my saved opportunities, will they appear in my Matches? Or will I need to duplicate them?
When the future application cycles come around for my saved opportunities, will they appear in my Matches? Or will I need to duplicate them?
When you save (or hide) an opportunity, it will no longer appear in your Matches tab. The same goes for future cycles for these opportunities. So, in order to add a record of a saved opportunity for a future cycle to your Tracker, you'll need to duplicate it. We have an entire article breaking this down here.
Is there any data that does not transfer over to a duplicated opportunity?
Is there any data that does not transfer over to a duplicated opportunity?
The following data does not transfer to a duplicated opportunity:
Tasks
Grant portal credentials
Documents
Financials
Key Information fields (such as Submission Goal and Amount Requested) must also be re-entered during duplication.
How do I record multi-year awards?
How do I record multi-year awards?
There are two ways to go about this, and either works fine, so choose what best suits your preference:
Save/Create one opportunity for the total grant amount ($100k, e.g.), assigned to one fiscal year, and write in the 'Opportunity Notes' that the payment is split into multiple payments (4 payments, $25k each, e.g.). You can then enter the Award Period Start / End Date to indicate this grant spans across multiple years. This would show up in the Awards View as one award, populating under any fiscal year filtered that overlaps with the multi-year award period.
Using the above example, add four opportunities to your Tracker for $25k each and assign each "opportunity" to a different fiscal year within the award period. To do so, you'll need to duplicate the opportunity - in this scenario, three duplicates plus the original opportunity to account for the four years.
Duplicating records helps you maintain accurate tracking across projects, fiscal years, and application cycles. If you're looking to duplicate records that you've been awarded in the past, be sure to read out article about planning for the upcoming fiscal year here.
