Stay organized with date fields

Learn how to keep your pipeline organized by tracking various submission deadlines

Depending on the Status a funding opportunity is assigned, different date fields will be available. Each date field supports a different stage of your workflow—from planning and submission to notification and award management—helping you keep your pipeline accurate and organized.

The available date fields are as follows:

Fiscal Year

An opportunity is classified into a fiscal year once the Status is "Planned" or further along. Each opportunity can only be classified into one fiscal year. Learn how to edit your fiscal year here.

If a grant does not appear under the expected fiscal year, verify its assigned fiscal year. For instance, a grant designated for FY 2025 will only appear when FY 2025 is selected:

Application Cycle

Users can select the Application Cycle they plan to aim for once the Status is "Planned" or further along.

Submission Goal

To add a Submission Goal, simply change the Status from "Researching" to "Planned," or any later stage.

Instrumentl's Tracker is sorted by Grant deadline by default. Adding a Submission Goal date allows you to set a planned submission date that Instrumentl uses to organize your Tracker—helping you prioritize upcoming work and manage your pipeline proactively.

Submission Goal dates are especially helpful for opportunities with multiple required stages. If a grant opportunity includes a Letter of Intent (LOI) or Pre-Application, you can add separate Submission Goal dates for each stage to plan ahead, track interim deadlines, and keep complex opportunities organized.

Submission Date

Users can select the date that the full proposal was actually submitted once the Status is "Application Submitted" or further along.

Expected Notification Date

Folks can jot down the expected notification date once the Status is "Planned" or further along. This will help you keep tabs on your responses further down the road.

Date Notified

Users can select the date that they were notified of the outcome of their application once the Status is either "Declined" or "Awarded".

Start and End of Grant Period

When an opportunity is marked as "Awarded," you can also select the Start of Grant Period and End of Grant Period to keep track of the duration of your grant.
