Overview
Instrumentl collects basic information about your organization to match your projects with relevant grants and funders. You're required to complete this when creating your account, but you can always return to it and edit later.
This guide is specifically for Nonprofit Plans. Are you on a Consultant account? Learn about Client Profiles here.
The Organization Profile consists of three areas of information:
Organization EIN*
Location of Residency
Fiscal Year
(*Only those subscribed to the Nonprofit Professional Plan or higher will see the option to input their EIN. Entering an EIN allows eligible users to leverage the Peer Prospecting feature.)
Finding the Organization Profile
To locate your Organization Profile, click Account in the bottom-left corner and then select Organization Profile from the menu options.

If you're on a Nonprofit account subscribed to the Pro Plan or above, the first section you'll see in your Organization Profile is 'Organization EIN'. In order to take advantage of the Peer Prospecting feature, you'll need to enter your employer identification number (EIN), a.k.a. federal tax ID. (This is not a required field.)
Location of Residency
A major factor in the matches generated for your projects is your nonprofit's location. This data is referred to in Instrumentl as your Location of Residency. Think of this as your organization's headquarters, which may span multiple locations (as in the example below). We suggest referring to the addresses where your 501(c)(3) is registered with the IRS.
Tip: Be as specific as possible: if your nonprofit has physical locations across a state, enter each county rather than just the state (e.g., Fayette County, KY, + Woodford County, KY, + Scott County, KY, vs. Kentucky). The specific county will inherently account for its respective state and country, so you won't miss out on state-wide or national grants.
You'll still be able to designate your program's "service areas" (referred to as Location of Project) when setting up or editing each project. This is an additional location taken into account when generating matches (separate from your organization's Location of Residency). To view and adjust your project location(s), edit your project.

Fiscal Year
By default, when viewing your Tracker, the fiscal years are defined as calendar years (January 1 - December 31). If your non-profit uses a different fiscal year, you can customize your Organization Profile accordingly.
To adjust the start and end dates of your fiscal year, open the dropdown menu under 'Fiscal year' and select the date range your organization utilizes.
When finished, click Save and Exit.
Note: The fiscal year (FY) assigned to an opportunity is designated by the calendar year in which the fiscal year ends. For example, with a fiscal year of October 1 - September 30, opportunities saved to your tracker with deadlines in October, November and December of 2026 would be classified as FY 2027.
To change the fiscal year assigned to an opportunity saved to a project, you can either:
Add the 'YEAR' column to your Tracker and then select the fiscal year within the same row as the opportunity you want to edit.
Or open the saved grant in your Tracker, click the fiscal year in the top-right corner, then select Edit year to open the FY menu and choose the year you want (make sure it corresponds to the application cycle selected beneath the FY, labeled 'Your Cycle').

Instrumentl designed Consultant plans to make it easier for consultants and freelance grant writers to manage multiple clients within Instrumentl, including clients with different Locations of Residency and fiscal years. If you're a freelancer/consultant and require a different "profile" for each of your clients, choosing a Consultant plan will allow you to edit multiple client profiles.

If you're mistakenly on a Nonprofit Plan, not to worry! You can switch to a Consultant Plan at no additional charge. For example, you may switch from the Standard Nonprofit Plan to the Standard Consultant Plan to obtain multiple profiles for each of your clients.
To switch to a Consultant Pan, navigate to our Pricing Page > Consultant tab > Choose Plan > Confirm Payment.
